Under the general direction of the Accounting Manager, the primary function of this is to assist with the accounts payable administration.  The accounting functions include: (1) processing invoices and making payments for ASRC, ASRC Properties, Eskimos Inc., Niggivikput and TTI in a timely manner; (2) preparing vouchers and statements for payment; (3) obtaining approval to issue checks; (4) producing monthly reports; (5) entering data into the computer system; and (6) filing as necessary.

The scope of the position includes: (1) communicating with various departments regarding checks and invoices for approval and signatures; and (2) communicating with outside vendors regarding checks and invoices.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

1.       Utilize ERP to process and code invoices ensuring accuracy, as approved by department managers listing the expense and assigning general ledger account numbers.

2.       Distribute accounts payable checks.

3.       Update accounts payable maintenance records

4.       Perform mail sorting and electronic accounts payable filing.

5.       Coordinate vendor W-9 and supplier set-up.

6.       Supplier statement reconciliation.

7.       Maintains check register file and update payment log file.

8.       Other duties as assigned.

EDUCATION and/or EXPERIENCE

1.       Strong knowledge, understanding and sensitivity to the Inupiat culture.

2.       One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

3.       Basic knowledge of current Generally Accepted Accounting Principles (GAAP) preferred.

4.       Basic knowledge of Excel, Word, Quick Books, Oracle and other accounting software programs.

5.       Demonstrated knowledge and understanding of accounts payable functions, routines and guidelines. 

6.       Ability to operate computer systems relating to accounting and financial reporting. 

7.       Proficient written and oral communication.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in a busy office setting.  The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, frequently exposed to extreme cold, occasionally exposed to extreme heat, and may be required to travel in small and large commercial aircraft.
